How to Offer Membership Payment Options on Your Clinic Website: Third-Party Financing and Credit Card Billing

If your clinic runs membership or package programs, the way patients pay for them often decides how many actually sign up. Someone can love the idea of a year-long treatment plan and still hesitate the moment they see the full price. The way around that is to give patients more than one comfortable way to pay, and to offer those options right on your website where they are already deciding.

This guide covers two effective membership payment options worth having on your clinic site. With Beautifi financing, your clinic gets paid upfront, and the patient repays the lender over time. With credit card billing, the patient pays to get started through your website, and your team completes the subscription setup inside your electronic medical record or electronic health record software, also known as EMR or EHR software, so future billing can run automatically. 

Both options can be easy for patients to understand, but they work very differently behind the scenes. The right setup helps your clinic reduce payment friction, support more patients, and keep your team clear on what needs to happen next.

Packages and Memberships: Know What You Are Selling

Before getting into payment, it helps to be clear on the two kinds of offers most clinics use, because they work differently.

A package is a one-time purchase, a bit like a digital punch card. A patient buys a set number of treatments upfront, often at a discount, and works through them over time. When the sessions run out, they buy another package if they want more.

A membership is a recurring subscription. The patient is billed on a cycle, usually monthly, and each cycle, their account is credited with a certain number of eligible treatments. It keeps going automatically until someone cancels it according to the clinic’s membership terms, which makes it a better fit when you want steady, predictable revenue rather than single purchase sales.

Most of what follows applies to the membership model, since that is where the recurring payment question really matters.

The Real Difference Between Your Two Payment Options

Here is the part that affects your cash flow and your day-to-day admin the most. A patient can either finance the whole plan through Beautifi, or pay by credit card through your website and then have your team activate the recurring subscription inside your EMR or EHR software.

To the patient, both options can feel like manageable monthly payments. For your clinic, what happens behind the scenes is very different.

Beautifi Financing: Your Clinic Gets Paid Upfront

Beautifi is a Canadian patient financing company. When a patient picks this option, they apply to Beautifi for the full value of their membership plan, for example, a year-long program worth around $1,800. The application is short and gives a decision quickly, and applying uses a soft credit check that does not affect their score.

Once they are approved and have signed their agreement, Beautifi sends your clinic the full amount as a lump sum, usually within about a day, less any provider fee in your agreement. The patient then repays Beautifi directly in monthly installments over a term they choose, which can range from a few months up to several years.

However, patients should understand that this is a loan, not a membership they can cancel on short notice. It feels similar month to month, but the obligation is different. They owe Beautifi the full balance even if they stop treatment, and interest may apply depending on their terms. Your clinic, on the other hand, receives full payment from day one and has no part in collecting the monthly payments.

Because Beautifi pays your clinic directly and collects repayment from the patient, you also do not have to worry about declined cards or expired cards for that financed amount. 

Beautifi is a Canadian financing option, so clinics serving U.S. patients would need to evaluate U.S. financing providers instead. CareCredit and PatientFi are two examples clinics may consider. The decision framework is the same: confirm whether the provider supports your treatment categories, how approvals work, what fees apply, when your clinic gets paid, and how repayment is handled with the patient.

Credit Card Payments: You Manage the Subscription

The second option keeps the billing relationship with your clinic. The patient pays by card to get started, often with a deposit or first month payment collected through your website intake form. However, that intake form does not automatically add the patient to a membership subscription inside your EHR software.

After the form is submitted, a customer service representative still needs to call the patient, collect or confirm their credit card details, add them to the correct subscription plan in the EHR software, and activate the recurring billing setup.

This is closer to how people picture a membership working. There is no loan and no credit check involved, just an ongoing charge that the patient can usually cancel later on, according to your clinic’s membership terms. The tradeoff is that the monthly billing is now yours to manage, which means your clinic takes on the risk of declined cards, expired cards, cancellations, and follow-up. Your revenue also comes in gradually rather than all at once.

For this article, we are using Jane App as the example EHR software, but the general workflow may apply to other EMR or EHR platforms with membership or recurring billing features. In Jane, automatic recurring billing works through Jane Payments, so the patient needs to be manually added to the right membership plan, and a card needs to be securely stored on the patient’s profile before future charges can process on their own.

How Patients Book and Use Their Treatments

From the patient’s side, an active membership works the same way regardless of how they paid for it. Once the membership has been activated in the EHR software, they can log in, pick an eligible treatment, and book it. Their membership credit covers the session, so they can go through checkout at a zero balance without needing to pay again for that visit.

One thing to set up correctly here is the online booking access. If you want patients to book membership treatments themselves, each eligible treatment needs to be enabled in your online booking settings. If you would rather keep booking in your team’s hands, those appointments can be added manually by your staff instead.

It is also important to understand how online selling differs between packages and memberships. Patients can usually buy a package directly on your booking site if that option is turned on. Memberships work differently because the recurring subscription still needs to be set up by your front desk or customer service team inside the EMR or EHR software.

That does not mean the intake form cannot collect payment. The website intake form can still charge the patient a small deposit or collect the first month’s payment when they sign up. That payment helps confirm the patient’s commitment and starts the process.

After that, a customer service representative needs to call the patient, collect or confirm their credit card details, add the patient to the correct subscription plan inside the EMR or EHR software, and activate recurring billing. For this article, Jane App is the example EHR software, so this means setting up the membership in Jane and storing the patient’s card on their profile for future Jane Payments charges.

Once that setup is complete, the patient can book and redeem their membership sessions online if those treatments are enabled for online booking. Future billing can then run through the EHR subscription plan according to the membership schedule.

Setting This Up On Your Website

The goal is for patients to see one smooth process while your team has a clear, organized path to follow. That usually starts with an intake form on your site that asks how the patient would like to pay, with financing and credit card as the choices.

For a patient who chooses financing, the form sends them to the Beautifi application form after they complete your intake web form. Once the patient is approved and Beautifi funds your clinic, your front desk signs the patient up for the selected plan inside the EHR software, such as Jane. This creates the invoice, and your team can then mark it as paid using a custom payment method labelled Beautifi. Once the invoice is marked paid, the patient’s treatment credits appear and they can start booking. The bookings can be completed by the patient through Jane’s Online Booking Scheduler, or by your customer service representative over the phone or by email.

For patients going the credit card route, the web form collects their deposit or first month’s payment when they sign up. Your team then calls the patient, collects or confirms their card details, and adds the patient to the correct subscription plan inside the EHR software. That first payment through the intake web form covers their first month’s invoice. After the subscription is manually activated, the EHR software can charge the card monthly and release their credits automatically each month.

Since Beautifi and Jane do not talk to each other automatically, that connection between the financing and the subscription plan is partially created by your staff.
