Wisevu is committed to protecting your personal information during our recruitment process. This Policy explains what information we collect, how we use it, and your rights under the Personal Information Protection and Electronic Documents Act (PIPEDA).

Information We Collect

We may collect personal information provided by candidates in their resumes, cover letters, portfolios, applications, or public profiles (e.g., LinkedIn), including:

  • Contact and identification details
  • Professional and educational background
  • Interview and assessment information, including live and one-way video recordings and test results
  • References
  • Technical/ATS data, such as system-generated logs of application activity and internal recruiter notes

We do not collect sensitive information such as health, disability, demographic data, or other irrelevant information during the recruitment process.

How We Collect Information

  • Via Applicant Tracking System (ATS), emails, one-way and live video interviews, assessments, and references
  • From publicly available sources
  • Recruitment team notes during the process

We do not share candidate data with external service providers beyond the services they provide. These providers operate under their own privacy policies and practices.

Purpose of Collection

  • Evaluate candidates and conduct interviews
  • Assess skills, qualifications, and references
  • Make hiring decisions
  • Maintain a talent pool for future job opportunities
  • Contact candidates for future job positions
  • Analyze recruitment metrics and improve processes
  • Use ATS AI features for scoring (all final decisions are human-reviewed)

Retention & Deletion

  • Personal information may be retained long-term in our talent pool to consider candidates for future job opportunities.
  • Candidates may request deletion of their data at any time, even before the retention period ends.
  • Deletion method: Data is fully removed from all storage systems, including ATS and backups, after the retention period or upon request.

Data Sharing

Internal Sharing: Candidate data is shared only within the Wisevu Recruitment Team.

External Providers: We use external platforms (like ATS) only as service providers. Candidate data is not shared with them beyond the services they provide. These providers operate under their own privacy policies and practices.

Legal Authorities: We do not share candidate data with government or legal authorities unless required by law.

Cross-Border Transfers: Candidate data may be stored or processed by our service providers in Canada or other countries. In such cases, the data is subject to the laws and jurisdiction of the country where the service provider operates.

Candidate Rights

Candidates have the following rights regarding their personal information:

  • Access: Request access to the personal information we hold
  • Correction: Request corrections to inaccurate or incomplete information
  • Deletion / Withdraw Consent: Request deletion of personal information at any time, which also stops its collection, use, or disclosure and removes you from the talent pool.

Security Measures

Technical security:

  • Secure ATS platform with password protection and role-based access
  • Multi-factor authentication (MFA) for accounts accessing candidate data
  • Encryption of stored data and data in transit
  • Antivirus and malware protection on devices accessing candidate data

Administrative Controls:

  • Access restricted to the Wisevu Recruitment Team only
  • Staff training on privacy and data handling
  • Regular review of data retention and deletion procedures
  • Confidentiality agreements with Wisevu Recruitment Team members

Use of AI / Automated Tools

  • We may use ATS-integrated AI features solely to score candidate submissions.
  • All final hiring decisions are human-reviewed; no decisions are fully automated.
